Who we are
Charlemain Consulting is the trading name of Alexander Ogilvie-Forbes, sole trader (commerçant personne physique), registered in Luxembourg under RCS A47331, VAT LU37650535, at 2 rue Jean Engling, L-1466 Luxembourg. Charlemain Consulting is the data controller for the personal data described in this policy. Contact: contact@charlemainconsulting.com.
What data we collect
This website has no contact form and sets no analytics or advertising cookies. We collect personal data only when you choose to contact us by email, telephone or WhatsApp, or when we receive your details in the course of a recruitment mandate. This may include:
- name, job title, employer and contact details;
- CV, career history, qualifications and professional interests;
- information you provide during interviews or assessments;
- references, where you have agreed we may take them;
- for clients, details of the role, team and hiring requirements.
Our hosting provider, Netlify, processes technical data such as IP address and browser type in server logs for security and operational purposes.
To understand how the site is used, we use Cloudflare Web Analytics. It sets no cookies, does not follow you across other websites and gives us only aggregated statistics, such as page views, country, device type and the referring site.
Why we process it
- to respond to your enquiry (legitimate interest / pre-contractual steps);
- to present candidates to clients and manage recruitment mandates (legitimate interest and, where applicable, your consent);
- to maintain a confidential candidate network for future roles (legitimate interest, subject to your right to object);
- to meet legal, accounting and regulatory obligations in Luxembourg.
Who receives it
Candidate details are shared with a prospective employer only with your prior agreement and only for the role discussed. We use professional service providers (email, hosting, document storage) who act as processors under written terms. Where data is transferred outside the European Economic Area, including to the United Kingdom, we rely on an adequacy decision or standard contractual clauses.
How long we keep it
Enquiry correspondence is kept for up to two years. Candidate records are kept for up to three years from our last meaningful contact, unless you ask us to delete them sooner or a longer period is required by law. Client contract records are kept for ten years in line with Luxembourg accounting rules.
Your rights
Under the GDPR you may ask to access, correct, delete or restrict the use of your personal data, object to processing based on legitimate interest, withdraw consent at any time, and request portability. Write to contact@charlemainconsulting.com. You may also lodge a complaint with the Luxembourg data protection authority, the Commission nationale pour la protection des données (CNPD), at cnpd.lu.
Security
We use access-controlled, encrypted business systems and limit access to personal data to what is needed for the mandate concerned.
How we contact you
Fraudulent messages impersonating recruitment firms are becoming more common. To help you check that a message genuinely comes from us:
- We contact candidates and clients only from an email address ending @charlemainconsulting.com, from Alexander Ogilvie-Forbes's LinkedIn profile, or from +352 661 740 233.
- We never ask candidates for money. Candidates pay no fees, and we will never ask you for a payment, bank details or card details.
- Before taking things further, we normally arrange a Teams or Zoom call so you know who you are dealing with.
- We discuss your current package, salary expectations and other personal details in strict confidence, and only by video call or in person. Formal offers are confirmed in writing by the hiring company.
- We ask for identity documents only at offer stage, and only where the hiring company requires them.
If you receive a message claiming to be from Charlemain that does not match the above, please do not reply or click any links. To check, email alex@charlemainconsulting.com or call +352 661 740 233.
